How to get reminded to apply for internships and follow up with recruiters

Last updated September 3, 2026

Track each internship with its deadline, status, contact, source link, and one next action date. Put reminders on the next action, such as tailor the resume, submit, send a thank-you, or follow up, because an application deadline alone does not manage the steps around it.

Keep recruiter messages in the original email thread and record every promised follow-up immediately. A weekly review catches applications that have no next action or have been quiet longer than your stated follow-up rule.

A practical approach

What to do.

  1. 01

    Build one application tracker

Create a sheet or table with company, role, location, source link, deadline, status, recruiter, date of last contact, and next action. Add an internship when you decide it is worth considering, even before the application is ready. Deduplicate similar listings so you do not tailor materials twice for the same role. Although maintaining the tracker takes time, it prevents job-board bookmarks, browser tabs, and recruiter emails from becoming separate versions of your search.

  2. 02

    Schedule the next action

Every active row needs one dated action written as a verb: research the team, tailor the resume, request feedback, submit, prepare for the interview, send thanks, or follow up. Set the action early enough to recover if a reference or transcript is delayed. When you finish it, choose the next one before closing the tracker. This discipline adds a small decision after every task, but it keeps applications moving without relying on the final deadline to create urgency.

  3. 03

    Use a follow-up rule

Choose a consistent waiting period for each stage and record the exact follow-up date when you send a message or finish an interview. Reply in the original recruiter thread, mention the role, and ask one direct question or confirm your continued interest. Do not send repeated nudges when the posting gives a timeline or asks candidates not to contact the team. A rule reduces second-guessing, while exceptions protect you from sounding automated or ignoring clear instructions.

  4. 04

    Review every week

Once a week, sort by next action date and inspect any row with a blank action, passed deadline, or status that has not changed. Close roles that are filled or no longer fit, then schedule the strongest applications for the coming week. Also search your inbox for recruiter messages that never reached the tracker. A weekly review cannot make every employer respond. It keeps your effort aimed at open opportunities instead of stale tabs and forgotten drafts.

The Pally option

The short version: text Pally

Pally can keep recurring or persistent reminders in your text thread and read connected Gmail for conversations that still need a reply. It can identify an unanswered request, draft a follow-up from the thread's context, and send only after you approve the wording. Keep the application tracker as the source of truth for portals and status changes that do not reach email.

Google Sheets

Google Sheets fits students who want a simple custom tracker they can share with a career adviser.

Reminders and email follow-ups require separate setup and manual updates.

Motion

Motion fits students who want an AI calendar to schedule application tasks into open time.

Its calendar does not preserve the application pipeline and contact history kept in a tracker.

Huntr

Huntr fits students who want a dedicated job-search pipeline for roles, contacts, and materials.

A dedicated tracker adds another place that must stay current as recruiter email arrives.

Folk

Folk fits students who want a relationship CRM for recruiter context and follow-ups.

Its focus is relationship management rather than application deadlines and materials.

Questions

Frequently asked questions.

When should I follow up after applying?+

Follow any timing stated in the posting first. If none is given, choose one reasonable check-in date, record it when you submit, and send a concise message tied to the role.

Should I follow up after an interview?+

Send a short thank-you while the conversation is fresh, then follow the timeline the interviewer gave you. If that date passes, one direct status check is reasonable.

What if I cannot find a recruiter email?+

Use the contact method in the posting or application portal. Do not guess personal addresses or message unrelated employees with repeated requests.

What statuses belong in an internship tracker?+

Use a short set such as considering, preparing, applied, interviewing, waiting, offer, closed, and withdrawn. Add detail in notes only when it changes your next action.
